Compliance Officer

The Position Reports to:

Objective of the Position:

This Role is accountable for 2 key areas of the Compliance function: Labor and Regulatory, with the objective of empowering the business to achieve its commercial ambitions in a sustainable and legally compliant manner. It is responsible for creating and implementing strategies that are cost-effective, based on an ethical work environment and a culture of compliance.

It works in close coordination with the Legal Function to help the Management ensure ethical business conduct and compliance with laws, regulatory requirements, policies, and procedures.

DUTIES AND RESPONSIBILITIES

Labor Compliance:

  • Implement and administer the Employee’s Handbook and Code of Conduct. Collaborate with the On-Boarding Team to educate new hires about relevant Company policies, internal rules and regulations. Keep the Handbook and employment policies updated and responsive to the requirements of the business and the needs of the employees.
  • Investigate work-related complaints involving employees, handle administrative disciplinary action in a discreet but fair and unbiased manner. Execute procedural due process, draft and issue employee discipline notices and memoranda in compliance with existing labor law and regulations; attendance at SEnA and NLRC hearings.
  • Responsible for the preparation and delivery of HR Compliance-based communications, and handling of employee queries and concerns.
  • Handle sensitive employee data and reports with utmost confidentiality.
  • Responsible for information dissemination and training, ensuring that employees are well-aware of company policies and procedures relevant to their functions to avoid incidents and disciplinary action.

Regulatory Compliance:

  • Lead the compliance activities of the Flat Planet organization, file reports and regulatory requirements with government agencies; and ensure that all business activities are covered by permits and licenses.
  • Educate and remind Team Members of their Compliance obligations, identify compliance risks and difficulties within the Flat Planet organization, and provide insights to enable an effective risk management; monitor the preparation of reports by Finance Department to make sure that they are meeting their government deadlines on time.
  • Proactively identify the root causes of compliance gaps, recommend actionable, value-added, and cost-effective measures to address compliance issues, mitigate exposure to business risks and improve the company’s compliance framework.
  • Keep the organization updated on any government regulatory changes.
  • Develop and manage an annual compliance plan and calendar to improve timely submission by the company of government reports; administer the Compliance calendar, conduct periodic internal reviews to ensure that compliance procedures are followed by relevant business units and deadlines are met on time.
  • Maintain a complete and organized file of corporate and labor compliance documents, permits and licenses.
  • Perform related tasks as may be assigned from time to time.

REQUIRED SKILLSETS

  • Preferably a lawyer, but not required (with Juris Doctor Degree, licensed to practice law, member of the Philippine Bar in good standing); OR a Paralegal
  • At least 3 to 5 years of solid regulatory compliance experience gained from a law firm or reputable company.
  • Ability to work independently with little to no supervision

  • Able to manage multiple tasks through good organization skills
  • Strong presentation and communication skills, proficiency in written and spoken English
